GEISAI#21 Exhibitor Guidelines

1. Compliance Rules

Exhibitors must comply with the following rules and regulations presented by Kaikai Kiki Co., Ltd. (hereinafter referred to as the Organizer).

In the case an exhibitor fails complying with or being found to be violating the rules and regulations, the Organizer shall reject the application, cancel the exhibit, or remove/change the exhibit space/booth and/or the content of the exhibit/displays. In no circumstances, such exhibitor will be refunded the paid fees.

2. Requirements

Exhibitors must understand and agree to the contents of this guideline, and acknowledge the intent of the event set by the Organizer.
* All exhibit works shall not infringe on the intellectual property rights of third parties.
* Exhibitors shall not be, a member of, or associated with organized crime groups, or any other equivalent person of above (i.e., Anti-Social Forces).

As part of press activities of GEISAI #21, we ask for consent to the below.

Exhibitors agree with the Organizer on the following.

  • At the GEISAI event, the Organizer will, with the purpose of operation, announcement, promotion, etc., (hereinafter referred to as “Purpose”), take photographs and/or video of exhibit works or exhibitors inside and outside of the venue, and photographs and videos which may include exhibitors’ portrait rights (hereinafter collectively referred to as “Images”). The Organizer may use these Images for GEISAI or for media related to the Organizer (including digital media such as social networks or the web and prints).
  • The Organizer may, for the Purposes, furnish Images or make the Images available to third parties to feature them in media such as websites, newspapers, and magazines, or on footage on television or the internet (including interviews on television, in newspapers and magazines).
  • For the purposes of use the Images above described, the Organizer may also include the name and/or profile of such exhibitors or make them available to third parties when the Organizer deems it necessary.
  • Exhibitors shall not exercise copyright, moral rights, portrait rights or other rights for the purposes of GEISAI’s press activities.

3. Criteria

In principle, exhibitors need to be able to exhibit throughout the actual day of the event.

Booths cannot be transferred.
In case you cannot operate your booth(s) due to unavoidable circumstances, please be sure to contact the Geisai #21 Office.

Please note that applications may be declined in case of more applicants than places available, or if the Organizer evaluates the exhibit work as not being in line with the intents and purposes of the event. All the applications go through the preliminary examination and the results will be communicated via email.

4. Application and Fees

Before applying, please be sure to agree to the contents of the Exhibition Guidelines.

Only those who apply for and pass the preliminary examination are entitled to be an exhibitor.
Once an application is received, an “Application Received” email message will be sent to the registered email address within 24 hours.
Please check the participation requirements and see if the fee is correct.

Payment can be made by bank transfer or by a credit card.
Payment terms and conditions will be communicated at the time of application.
An application is completed when the payment is confirmed.

In case an applicant fails to pay the fee by the due date, the application of such applicant may be cancelled.

In case exhibitors cannot participate the event due to their own reasons, the paid exhibition fee and charges for extra orders (if any) are not to be refunded.
Please also note that we do not refund any of differences resulting from the changes of your exhibition works or extra orders.
* Photos/images of exhibition works you submit when applying may be used in printed materials the Geisai #21 Office issues or for the event’s promotional purposes.

5. Booth Allocation and Setup

The dimensions of one booth is 2000mm(width)×1800mm(depth).(A booth with a wall will have a wall of 2400mm in height.)
Only raw exhibiting spaces will be provided. If there is need for tables or chairs or other equipment, request those as the extra orders or bring your own.

If the venue (e.g. walls or floor) or rental items (e.g.exhibition fixtures) are significantly defaced or damaged, a cleaning fee may be charged.

The Geisai #21 Office allocates all booths based on applications and exhibitors cannot specify the booth location.

Loading- in/out by exhibitors’ vehicles are allowed only at designated times. Application in advance is required.
Details will be announced on our website at a later date.

Details of the transports of your exhibit materials to and from the venue will be announced on our website at a later date.

6. on the Day of the Event

Exhibiting works are not allowed when it violates the regulations, is recognized as disturbing public order and morals or public health, is recognized as being dangerous to visitors, emits strong lights or heat or odor or loud sounds, and any other exhibition methods that may disturb other exhibitors and visitors. Using the venue’s floors, walls, and ceilings for exhibits are also prohibited.
Please contact Geisai #21 Office in the first place if you think you need to check if your exhibition works fall under these prohibited categories.

PR activities such as handing flyers outside your booth (i.e., in the aisles, lobby, and venue entrance) are not allowed.

The Organizer assumes no responsibility for any business negotiations or contracts to be made between exhibitors or between exhibitors and visitors.

During the event, the Organizer will be responsible for the overall venue management however will not be responsible for the management of individual booths.

Exhibitors are responsible for their own booth, ensuring the safety of visitors, managing exhibit works, and managing personal belongings (e.g. valuables items). Exhibitors are also responsible for the insurance for their exhibition works if necessary.

Trash at loading- in or out or equipment necessary for exhibits cannot be kept by or taken care of by the Organizer. Please be responsible for and take them with you after the exhibition.

7. Measures Against COVID-19

Please download and register COCOA, the COVID-19 contact-confirming application, in advance, to trace the contacts with those infected.
We will check registration status when you enter the venue.

Please fill the “health check sheet” for the last 14 days of your entry to the venue and submit when entering the venue.
Details regarding the health check sheet will be announced on the website at a later date.

Upon entry to the venue, you will be asked to present a negative certificate of an antigen or PCR test conducted within 24 hours.
If you cannot present any of them, you will be admitted after completing an antigen test on site for a fee and receiving a negative result. Exhibitor will be responsible for the fee for the antigen test.
* If Japanese government or local authorities henceforth sets regulations for the operation by a “vaccine passport (vaccine certificate)”, it will be applied accordingly.

When enter the venue, we will take your temperature, disinfect your hands, and check if you wear an appropriate face mask. Please make sure to wear a non-woven face mask.
(masks other than non-woven, such as polyurethane, cloth, and fleece masks, are not permitted.)

Please note that those who fall under either of the following within 14 days before the event cannot enter the venue.

  1. having fever of 37.5℃ or higher, coughing, headache, sore throat, runny nose, fatigue, short of breath, abnormality in sense of smell or taste, or feeling unwell.
  2. had a close contact with someone infected with COVID-19.
  3. have family members who you live with or someone close is suspected of being infected.
  4. visited a country or area for which the government imposes enty restrictions or requires an observation period after entry, or came in close contact with someone that has within the past 14 days.

* Measures against COVID-19 may change according to orders by Japanese government or local authorities.

8.Others

For the prevention of spread of COVID-19, eating and drinking in the booth is not allowed.

Use of fire or cooking activities within the venue or booth is prohibited.

Please get your own food. It is requested to use the designated eating space outside of the venue.

The Organizer will not be responsible for any property losses, incident, accident, or trouble related to trading the exhibition works during the event.

GEISAI#21 will be opened to public. However, depending on the situation of the spread of COVID-19, it may be changed to a closed-door/ on-line event with short or no prior notice. Even in such cases, the exhibition will take place in the venue and reviews by panel of judges will be conducted as scheduled. Please note that in this case, the exhibition fee will not be refunded.

Smoking is prohibited in the venue. Please use a designated smoking area.

9. Liability for Damages

In no circumstances, the Organizer will be responsible for any property losses, damages, or accidents, injuries, or damages in the booth, or to exhibitors, their employees and any related persons caused by force majeure such as natural disasters.

In case the event is forced to call off due to force majeure, including but not limited to the spread of infectious diseases, natural disasters such as earthquakes, typhoons or heavy snowfall, or orders by the government, local authorities or venue management to call off the event due to such circumstances, we will deduct the bank transfer charge from the total amount of the charges you have already paid for booth and extra orders (if any) and refund the rest.
